An AI receptionist can answer routine questions, collect the reason for a call, route urgent requests, and help schedule an appointment. The useful version does not pretend to be a person, improvise company policy, expose private records, or leave a caller stranded when the conversation becomes complicated.
Start by treating reception as an operating workflow rather than a voice demo. Define exactly what the assistant may say, what information it may collect, which systems it may read, which actions it may take, and how a caller reaches a person. This guide focuses on inbound reception. Outbound AI voice calls create a different compliance and consent problem and should be designed as a separate project with legal review.

Map the calls you actually receive
Do not begin with a prompt that says, ‘Answer every question about our business.’ Pull a representative sample of call reasons from staff notes, voicemail, call logs, appointment records, and the people who currently answer the phone. Remove sensitive details before using those examples for design or testing.
Group the calls by the outcome the caller needs. A new inquiry may need qualification and an introduction slot. An existing client may need a named person or a message attached to the right account. A vendor may need a department. A safety issue may need immediate escalation. A wrong number needs a polite ending, not a lead record.

ElevenLabs' current agent requirements call for clear notice that the user is interacting with AI and that conversations are recorded and may be shared with ElevenLabs and third-party model providers. Its documentation says this notice must appear immediately before the interaction and offers a verbal disclosure pattern. That provider requirement is a starting point, not a substitute for reviewing federal, state, industry, and contractual obligations for your specific calls.

Separate public answers from private account actions
Business hours, location, services, public pricing, directions, and the general appointment process can usually come from a public-approved knowledge source. Account status, prior conversations, invoices, order details, or changes to a client's schedule require identity and authorization controls outside the model.
A caller knowing a name, phone number, appointment time, or account number does not automatically prove identity. The application—not the model—should decide whether verification is sufficient, bind the lookup to the verified customer or organization, return only allowed fields, and deny access consistently. The voice assistant should not hear or receive data it does not need.

Avoid forcing people to repeat the entire conversation after transfer; pass the reason, verified identifiers, information already collected, and any promised next step.

Use a de-identified call test set and run it after every material change to the prompt, knowledge, voice, tools, model, routing, or provider configuration. Keep the old answering path available until the new one has survived real operating conditions. Measure correct resolution, successful routing, completed callbacks, booking accuracy, repeated information, transfer completion, caller abandonment, privacy incidents, unsupported answers, tool failures, and staff corrections. Do not optimize for calls contained by the AI if containment means a caller never reached the person or result they needed.
