Project status reporting is a perfect example of work that feels repetitive but carries real consequences. If AI turns scattered activity into a confident green status without understanding what was actually delivered, the automation saves writing time by creating decision risk.
The reliable design is an evidence-backed reporting pipeline. Approved project systems provide a bounded snapshot. Deterministic rules calculate dates, counts, changes, and exceptions. AI organizes the verified facts into plain language, identifies contradictions, and drafts questions where evidence is missing. Owners confirm the claims and risks before the report reaches its audience. This is operational guidance, not accounting, legal, employment, regulatory, or professional project-management advice; adapt the workflow to your contracts, governance, systems, and decision rights.

Define the report as a decision product
A status report is useful only if the reader knows what changed, what was completed, what remains uncertain, what is blocked, what decision is needed, and who owns the next move. ‘The team made great progress’ is not status. ‘The import completed for 8 of 10 approved data sources; two remain blocked by client credentials due August 19’ is status a person can act on.
Start with one report, one audience, and one cadence. A weekly internal delivery report has different evidence and language from a client steering update or executive portfolio summary. Store stable source field IDs, not only the labels people see. Boards and workflows are frequently renamed, and the same word can mean different things across teams. If a field has no reliable meaning, do not turn it into a report metric merely because it is available through the API.

Review a sample of reports with the people doing and receiving the work.
