Yes, AI can remove a large amount of manual invoice work. It can read documents, propose structured fields, detect missing information, and prepare an approval packet. It should not quietly decide that a vendor is legitimate or that money should move.
The safest design separates document understanding from financial authority. AI prepares the evidence. Deterministic controls check the transaction. Named people approve exceptions and payments.

Define the job before choosing a parser
Map one invoice from arrival to payment. Record every system, handoff, decision, exception, and piece of evidence. Decide which system owns the vendor record, purchase order, receipt, approval, accounting entry, and payment confirmation. If two systems can independently change the same fact, fix that ownership problem before adding AI.

Freeze the invoice workflow when payment details differ from the approved vendor master. Verify the change through a known contact and a channel already on file—not a phone number or link supplied in the suspicious message. AI may explain a mismatch, but it should not invent a receipt or waive a policy.
Route clean matches through the normal approval chain and exceptions to the person who can resolve them. Approval limits should come from identity and role data, not from a model prompt. Log who changed what, when, and why. Store model and parser versions, but keep sensitive invoice contents out of ordinary application logs. Run the workflow beside the current process before it can create accounting entries.
